How We Screen Your Rental Applicants
We'd Rather Find the Right Tenant Than the Fast One
Every landlord knows the temptation: your rental has been sitting empty for two weeks, an application finally comes in, and you just want to fill the vacancy. We understand that pull, but we won't act on it for you. A tenant placed too quickly is often the tenant who stops paying rent in month four, damages the property, or ends up costing you far more than a few extra days of vacancy ever would.
At Round Table Property Management, that's the whole idea behind our "People Before Property" approach. It's not just a tagline we put on our homepage. It shows up in how carefully we vet the people who are going to live in your home.
What Our Screening Process Actually Covers
A lot of property managers stop at a credit score and a quick call to an employer. We go further, because a credit score alone doesn't tell you whether someone will actually take care of your house. For every applicant, we review:
- Credit history - not just a score, but the full picture of how they manage financial obligations
- Employment and income verification - confirming the job and the income are real and stable enough to cover rent
- Debt-to-income ratio - so we know rent won't be a financial stretch that leads to missed payments later
- Eviction history - one of the strongest predictors of future problems, and something we check thoroughly
- Criminal background checks - reviewed carefully and consistently for every applicant, in line with fair housing law
- Previous landlord references - we actually call past landlords and ask what it was like to have this person as a tenant
Identity Verification: Our Answer to a Growing Problem
Rental fraud has changed a lot in the last few years, and not for the better. Fake IDs, stolen identities, and AI-generated documents have made it easier than ever for a bad applicant to look good on paper. So we upgraded our screening software to include ID verification paired with a live selfie check, which confirms the person applying is actually who their documents say they are.
It's a small extra step for a legitimate applicant, and it's not something every property manager does yet. But after dealing firsthand with a fraud attempt, we decided it was worth building into our process permanently. It's one more layer of protection for your investment, and it's part of why our screening consistently holds up.
Why This Matters More Than It Might Seem
We're upfront that this process takes longer than a bare-minimum screening. That's a real tradeoff, and if getting a tenant in the door within 48 hours is your top priority, our process might feel slower than you'd like. But we'd rather have that honest conversation with you now than have the "we found someone fast" conversation followed by an eviction six months later.
We're also selective about the properties we take on. We work best with single-family homes that are in good, rentable condition, and with owners who understand the realities of property management. That selectivity runs both directions: we're careful about the tenants who move into your home, and we're careful about the properties and owners we bring into our portfolio. It's part of the same philosophy- get the right fit on both sides, and everything downstream gets easier.
Who We Do This For
Our clients range from owners with a single rental they inherited or ended up with unexpectedly (we call them "accidental landlords") to investors with growing portfolios and out-of-state or military owners who need someone they trust handling things on the ground. Whatever category you fall into, the same screening standard applies to every property we manage.
The Payoff for You
Thorough screening is one of the biggest reasons our eviction rate has stayed under 1% over more than three decades in business. Fewer evictions means fewer legal headaches, less turnover, and a tenant who's more likely to renew their lease and take care of your property like it's their own home, not just a place they're passing through.

Tenants can pay rent online, which reduces late rent payments, and make maintenance requests online, which allows us to document all the work that’s done at your property.

We know the Jacksonville property management industry because we spend time studying it and investing in professional development. We know the local market because we’ve lived and worked here for years.
